Don’t forget!

The summer might seem like a quiet time for the Club after the seasonal programme ends in May but behind the scenes there has been much going on behind in readiness for the Annual Exhibition.  You will see the website now sports the exhibition poster – with Angela Acland’s eye-catching image of New York and on the Exhibition page, a lovely image by Liz Boden from Lordington Lavender which graces the flyer.  Both poster and flyer will be available at the Members’ Pre Exhibition meeting next Thursday, 27th July at Tangmere at 7.30pm – do please collect some to distribute and help publicise the exhibition. This meeting is for all Members and when you will hear how images submitted for the exhibition have fared – you will receive your certificates and copies of the catalogue will be available.

There is of course  much still to do, stewards are still needed and Sheila Tester, our buffet catering supremo, still needs assistance.  Do please see the details of the help still needed in the separate item from Wojtek Boden, our Exhibition Secretary.

The Exhibition Preview is at 7pm at the Assembly Room in Chichester on Friday 4th August – all Club Members and their guests are very welcome.  The Club Awards will be made that evening and we are delighted that Walter Benzie, the President of the Royal Photographic Society will be our guest of honour and will be making the awards.  There will of course be our traditional buffet (thanks to Sheila and her army of helpers) and then the exhibition will be open to all our guests, who include our friends from neighbouring clubs.

We open to the public on Saturday 5th August – and thanks to the considerable work undertaken by our Members, the quality of the images on show and the reputation our exhibitions have, it will I am sure be another very successful week.  Don’t forget to  come along at the close of the exhibition on Saturday 12th August to collect your images (any images that weren’t selected for the exhibition this year may be collected on the 27th July).

The success of the Club is based firmly on our regular programme of activities, and you will have received notification that following a very positive discussion at the AGM, the annual subscription will be £60 for the forthcoming season .  You can pay by bank transfer or by cheque and these must be paid before the start of the programme. Next year’s weekly programme has once again been put together by Glyn Edmunds and kicks off in great style with the popular Guy Edwardes on the 7th September with A Professional’s Approach to Photography.  

The summer might not be  everyone’s favourite time for being out with a camera but the exhibition is a real photographic highlight both as something of a culmination of the previous season’s achievement and a foretaste of what is to come.  I’m looking forward to seeing it all in place and to seeing Club Members and our many visitors over the week.

Annual Exhibition Stewarding

Stewards Rota 2017

I’m very encouraged by the number of volunteers who have put their names down for stewarding at the Annual Exhibition. I very much appreciate your support. The take up of kitchen slots is slower, so I am encouraging members who haven’t yet put their names down, to sign up for one or more of the kitchen slots. Money from the  sale of teas, coffees and cakes will make a big contribution towards the cost the exhibition.

If you are able to spare some time to help, then please have a look at the latest rota for available stewarding and kitchen slots. My contact details are at the foot of the rota.

Cath Walter asks members to send to her images she can use in the publicity for the Annual Exhibition in August.  Cath tries to get our images in a variety of local and national publications and some of these have long lead-in times.  Images should be about 2 to 4mb in size and should be e mailed to Cath at ‘thediamondva@gmail.com’.

Annual Exhibition 2017 – Exhibition Rotas 5th to 12th August

Arrangements for the Club’s Annual Exhibition 2017 are well underway. The success of the exhibition relies heavily on the support of Club members to volunteer a small amount of their time during the exhibition week to help with stewarding as well as in the kitchen.

Stewarding

The exhibition requires 3 stewards per session. Each session lasts 90 minutes, although volunteers stewarding the first session of each day should arrive by 9.30am to set-up. Stewarding tasks include:

  • Opening and closing the exhibition (first and last sessions of the day)
  • Keeping an accurate count of visitor attendance
  • Sale of exhibition catalogues
  • Inviting visitors to vote for their favourite print; keeping a running record of votes
  • Maintaining background music
  • Dealing with any enquiries (e.g. interest in club membership)
  • Generally assisting visitors to make their visit successful

Below is a copy of the Stewarding and Kitchen Rota and members are invited to put their names forward to fill the available sessions. Please let me know by email, by phone, or at club meetings which stewarding session(s) you wish to attend. I will keep the rota updated regularly on the website so that members can see which stewarding sessions are available.

If you find that you are no longer able to steward a specific session, but can volunteer for another session already staffed, it would help greatly if you could negotiate directly with another volunteer to swap sessions. Please let me know of any changes so that I can update the rota.

Kitchen

In addition to stewarding, we will be selling refreshments to visitors (teas, coffees, biscuits, cakes) and we are asking for at least one volunteer per session to staff the kitchen. If you can support the exhibition by taking a turn in the kitchen, please put your name in the green section of the rota marked ‘Kitchen’.

Income from Sales

It costs nearly £3,000 to put on the exhibition, just over half of which is covered by advertising income.  The rest comes from catalogue and refreshments sales, so every catalogue and tea/cake sold helps towards covering our costs and making a successful exhibition for the Club.

There will be space for members to sell cards, with a 10% sales commission to the Club.
